Privacy policy

TurnSmart is the operations software built and run by BookSmart Properties (“BookSmart”, “we”, “us”) for managing vacation rental homes. This policy explains what information TurnSmart handles, why, and the choices you have.

Who this covers

Our team: BookSmart staff who sign in to the app.
Cleaners and vendors who receive schedules, links or work orders from us, or sign in to see their work.
Homeowners whose homes we manage.
Guests who book and stay in those homes.
Visitors to turnsmart.io, including anyone who uses our contact form.

What we collect

Information you give us

Your name, email address and phone number, and the company you work for.
What you enter while using the app: notes, photos, checklists, messages, comments and reports.
What you send through our contact form.

Information from the services we use to run homes

Reservation details from our property management system, such as guest names, contact details, stay dates and the messages guests send us.
Calls and text messages to and from our business phone lines.
Reviews that guests leave on booking channels.

Information collected automatically

Sign-in records, and basic technical details such as your browser, device and IP address.
How the app is used (for example, which pages are opened), so we can fix problems and improve it.
Your location, only if you allow it, for features that need it, such as checking in at a home.

Signing in with Google

If you choose to sign in with Google, Google shares your name, email address and profile picture with us. We use them only to confirm who you are, sign you in, and show your name in the app. We match your email address to the account we already have for you; we don't create accounts for people we don't work with.

We do not request access to your Gmail, contacts, calendar or files through Google sign-in. We do not sell information we receive from Google, use it for advertising, or share it with anyone except as needed to run the sign-in itself. TurnSmart's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

How we use information

To run the homes we manage: scheduling cleanings and maintenance, preparing homes for guests, and keeping owners informed.
To communicate with guests, owners, cleaners and vendors.
To show cleaners and vendors the work assigned to them, and the feedback that relates to it.
To keep the app secure, prevent misuse, and fix problems.
To meet our legal, tax and accounting obligations.

Some features use AI services to help our team, for example to draft replies to guest messages, sort feedback, or transcribe voice notes. A person on our team reviews drafted messages before they are sent to a guest. We don't allow these providers to use our data to train their models.

Who we share it with

We do not sell personal information. We share it only:

With the people who need it to do their part: for example, a cleaner sees the homes and times they are booked for, and an owner sees activity for their own homes.
With service providers that host and operate TurnSmart on our behalf, under contracts that limit their use of it. These include our property management system (Guesty), hosting and database providers (Railway, Vercel, Supabase), Google (sign-in, email and workspace tools), email delivery (Resend), our business phone service (OpenPhone), product analytics (PostHog), AI providers (Anthropic and OpenAI), and mapping (LocationIQ).
When the law requires it, or to protect the safety of guests, our team or the homes.
If BookSmart's business is sold or merged, with the new owner, under this policy.

How long we keep it

We keep information for as long as we need it to run the homes and our business, and as long as the law requires for records such as bookings and payments. When you stop working with us, we remove your access, and delete or anonymise what we no longer need.

How we protect it

Information is sent over encrypted connections and stored with providers that encrypt it at rest. Access inside the app is limited by role, so people see only what their work requires. No system is perfectly secure, but we take reasonable steps to protect what we hold and will tell you if a breach affects you.

Your choices and rights

You can ask to see, correct or delete the personal information we hold about you.
You can stop using Google sign-in at any time, and remove TurnSmart's access from your Google account permissions.
You can opt out of non-essential emails by telling us.

Depending on where you live, you may have further rights under local law. To make a request, contact us. We'll confirm who you are before acting on it.

Children

TurnSmart is a business tool and is not meant for children under 16. We don't knowingly collect their information.

Changes to this policy

If we change this policy, we'll update the date at the top of this page, and tell people who use the app about any significant change.
